b. History of the Archival Services

The statutes concerning the collection and management of the Saint Paul University archives were established in 1968. At first, the Deschâtelets Archives, run by the Oblates of Mary Immaculate community of priests, was the repository of all of the University’s archival documents to ensure conservation, classification and distribution. In 2011, they were transferred to the Jean-Léon Allie Library, whose name was changed to Jean-Léon Allie Library and Archives.

In addition to private archival fonds, Saint Paul University’s Archival Services accepts the University’s administrative and historical documents and holds those of the Saint Paul University Seminary and Novalis Publishing.

Archival Services contributes to preserving the corporate memory of the University, its various elements and the people who have made their mark on its history. The documents it preserves help to meet the needs of the administrative and teaching staff and serve as a documentary source for research projects and publications.

c. Acquisition of Archival Fonds and Collections

Archival Services complies with the procedures described in the University regulation ADM-122 Gift Acceptance.

Here are the main steps for the donation of documents:

  1. Communication with Archival Services by email at archives@ustpaul.ca or by phone at 613 236-1393, ext. 2013.
  2. Assessment of documents based on the University’s acquisition criteria.
  3. Monetary appraisal.
  4. Signing of a donation agreement.

Acquisition criteria:

According to the Saint Paul University directive, the University can acquire documents that are of interest for teaching and research or that add to the history of the University. Priority is given to fonds and related or quasi-institutional private archival collections.

The University also acquires private fonds and archival collections. These are selected for the purpose of meeting particular needs concerning teaching and research and, in some cases, to complement fonds and collections that have already been acquired.

Donation agreement:

The preferred acquisition methods are donations and bequests. All archival acquisitions must be the subject of an arrangement in the form of an agreement.
